Terms of Service

The conditions for using Voice4Mail, including accounts, email tools, payments and your responsibilities.

Last updated: 16 October 2026

1. Agreement and contact

These Terms of Service govern use of the Voice4Mail website and personal email tools. By creating an account or using the service, you agree to these terms. If you act for an organisation, you must have authority to do so. If you do not agree, do not use the service.

For service, billing or legal questions, email support@voice4mail.com or use our Contact Us page. Our Privacy Policy explains personal-information processing; our POPI Act notice explains relevant South African privacy rights.

2. Account responsibilities

Provide accurate account information, keep your sign-in credentials secure and notify us if you suspect unauthorised use. You must have legal capacity to enter this agreement, or act with the legally required authority. Do not impersonate another person, share access unlawfully or use an account you are not authorised to use.

You are responsible for your device, internet connection and permissions you grant to third-party services. Social sign-in is subject to the selected provider’s terms.

3. What Voice4Mail provides

Voice4Mail currently provides tools for summarising text you paste, transcribing speech you submit, refining writing and saving email drafts. Availability can depend on your plan, service configuration, browser permissions and processing-provider availability.

Gmail connection, inbox retrieval and confirmed email sending are available when you connect your own Gmail account. Audio-summary playback is not currently available. A description of a planned feature is not a promise that it is available in your account. Emails are sent only after your explicit confirmation. Review the available account controls before purchasing a plan or relying on a particular feature.

4. Your content and permission to process it

You retain the rights you have in messages and other content you submit. You give Voice4Mail and the service providers used for your request permission to host, transmit and process that content to provide the requested tools, store drafts you choose to save, and operate and protect the service. This permission is limited by the purpose and applicable law; it is not a transfer of ownership.

You must have authority to submit the content, including personal information about other people. Do not provide unnecessary sensitive information. The availability, ownership or protectability of generated output may depend on applicable law and third-party rights; Voice4Mail does not guarantee that output is unique or free of every third-party claim.

5. Review before relying on a result

Generated summaries, transcripts and writing suggestions can contain omissions, inaccurate facts or unsuitable wording. Check names, recipients, amounts, dates, commitments and meaning before relying on or sharing a result. Voice4Mail is not a substitute for legal, financial, medical or other regulated professional advice.

You decide whether to use, edit, save or discard a result. If sending becomes available, the service must require your review and approval before it sends a message. You remain responsible for content you choose to send.

6. Acceptable use

Do not use Voice4Mail for unlawful activity, spam, harassment, fraud, impersonation, infringement of privacy or intellectual-property rights, or distribution of malicious content. Do not attempt to bypass authentication, access another user’s information, interfere with security, or disrupt the service.

Do not use automated requests to evade access restrictions or misrepresent another person’s identity. We may restrict access where reasonably necessary to protect users, investigate suspected misuse, comply with law or address a material breach of these terms, subject to applicable consumer rights.

7. Plans, prices and payment

Plan features and prices are shown on the Pricing page. Charges are in South African Rand (ZAR). The price and billing interval presented for your selected plan at checkout apply to that purchase. Payment is handled by Yoco or Paystack when the selected provider is configured and available.

Paid access is activated only after the payment provider confirms a successful payment, not merely because checkout opened or you returned to the site. Do not assume payment has succeeded until confirmation is available. Voice4Mail does not store your full card details.

Where a recurring payment is offered, its billing interval, amount and renewal authorisation must be disclosed before you agree. The current checkout implementation does not itself establish an automatic recurring-payment mandate. Payment-provider terms apply to the provider’s checkout and processing.

8. Usage, changes and service availability

Plan allowances and available controls are described with the plan and account. Usage records track processing requests for service administration. Do not assume every advertised limit or planned control is already enforced or available. Contact us if an allowance or access status appears incorrect.

We may maintain, update or discontinue features and may experience outages or provider interruptions. We do not guarantee uninterrupted availability or an error-free result. A material change to a paid service or price must be handled in accordance with the agreement and applicable law; a new displayed price does not by itself authorise an undisclosed charge.

9. Cancellation and refunds

You may request cancellation at any time. If a cancellation control is available in your account or through the payment provider, use it; otherwise contact us using the details above. Cancellation stops future renewals where recurring billing has been authorised, and paid access continues until the end of the current paid billing period, unless applicable law requires otherwise.

A cancellation is separate from a refund request. See our Refund Policy for payment-review contact details. Mandatory rights under applicable consumer law, including any cancellation, cooling-off or refund right that applies to your transaction, are not excluded by these terms.

10. Ending your account and retaining records

You can delete individual saved drafts and request account deletion through the available account controls or by contacting us. Account deletion does not necessarily cancel a payment arrangement held by a provider; address cancellation separately and retain payment references needed for a dispute.

Information may remain in legally required records, backups or provider systems as described in our Privacy Policy. You may lose access to saved drafts when an account is closed. Keep your own copies of messages you need. Any suspension or termination must respect rights that cannot lawfully be excluded.

11. Intellectual property and third-party services

Voice4Mail branding, website materials and software are protected by applicable intellectual-property laws. These terms permit ordinary use of the service; they do not grant ownership of the brand or permission to reproduce or exploit the service unlawfully.

Google, social sign-in providers, hosting and processing providers, and payment providers operate their own services under their own terms. Voice4Mail is not responsible for their services beyond responsibility imposed by applicable law. Third-party names and logos remain the property of their respective owners.

12. Responsibility and mandatory rights

Use reasonable care when using the service and protect your own copies of important content. To the extent permitted by law, the service is supplied without a guarantee of uninterrupted operation, complete accuracy or suitability for every purpose.

Nothing in these terms excludes liability or remedies that cannot lawfully be excluded, excuses unlawful processing of personal information, or waives mandatory consumer rights. We do not impose a contractual damages cap in this version of the terms. Each party’s responsibility remains subject to applicable law and the facts of the matter.

13. Disputes, governing law and updates

Please contact us to explain a service or payment dispute and provide the relevant reference so that it can be reviewed. This does not prevent you from approaching a regulator, ombud, tribunal or court where you have that right. Privacy complaints may be submitted directly to the Information Regulator.

South African law governs these terms, subject to mandatory protections that apply in your place of residence and any lawful jurisdiction requirements. No clause requires you to give up rights that cannot be waived. If a provision is unenforceable, the remaining provisions apply to the extent they can lawfully stand.

We may update these terms and will communicate material changes where required by law. The date below identifies the latest text; it is not a retroactive waiver or an authorisation for additional charges.
